Previous Commission Action: The Commission previously appropriated funds for this service through the budget process.

 

Background/Problem Discussion: Staff solicited bids for the annual maintenance of urban canopy services. The contract term is set for 1 year (12 months) with the option for the Town to renew for 3 additional 1 year periods. The two responses received were from Luke Brothers Inc. and Boens Tree Service. Since both respondents submitted unit prices that were similar to one another, staff evaluated the two bids by comparing the unit pricing to an estimation of annual maintenance service. Staff chose three scenarios based on prior year’s tree trimming activity. The lowest bidder among two of the three scenarios was Luke Brothers Inc.

 

Expenditure Challenges  None.

 

Financial Implications:  The maintenance of urban canopy needs of the Town varies each year, which causes the total expenditure to differ. The estimated expenditure impact for the service is $36,000 in the Parks & Recreation Department budget in the General Fund.

 

Recommendation:  Staff recommends approval of awarding the 2017 Maintenance of Urban Canopy Service Contract to Luke Brother Inc.
